Travel Program
Year in Review
As 2023 wraps up, let’s look back at where our managed travel program took our traveling Tritons.
- University business travelers flew on 11,469 air tickets via 89 different airlines to exactly 100 different countries.
- Our travel program savings totaled close to $714K.
- 70% of travel program tickets were booked in Concur and 30% via a partner agency.
- We spent 10,460 nights in hotels, averaging $227 per night. More than half of those nights were spent by incoming guest travelers at our local partner hotels.
- Rental car drivers drove 5,337 days and spent an average of $42 per day. Most of our rentals were in our own state of California.
Travel industry predictions for 2024 show price increases in all travel segments. We continue to rely on our managed travel program to provide savings as well as added benefits, safety & security protections, unused ticket management, and more! Here at UC San Diego, we look forward to new user interfaces in the Concur Travel booking platform, which will begin rolling out in the coming months. The new interface will provide a booking experience more similar to public sites while leveraging new adaptive technologies.

Streamlining Human Subject Compensation Reporting
Secure Tax Reporting with OnBase
We're excited to highlight a significant improvement in the tax reporting process for participants in clinical trials and research studies. The introduction of the Human Subject Compensation Record form via OnBase streamlines the process of reporting tax information for individuals who have received $600 or more in payments outside of Oracle. The new form replaces the former process of faxing tax information to a secure fax line for manual entry. Digitizing the entire process with OnBase eliminates manual data entry risks. The platform ensures secure storage - only authorized members of the Tax Team have access to export and use the information for reporting. This approach not only saves time but also enhances data security.

Update to Payee Invitation Form
Coming Soon!
PaymentWorks is preparing to launch an enhancement to the payee invitation form. The new invitation form will ask campus clients to identify upfront the UC San Diego system used to request payment to the payee (e.g., Oracle, Concur, Services & Support), which will determine what registration form the payee must complete. This change will reduce payee confusion, mitigate errors, and expedite setup in the appropriate system.
Training and guidance are in the works. Continue to reference the PaymentWorks Blink page for up-to-date information. The IPPS technology team will join Office Hours post-launch to answer questions. Stay tuned!

David Gomez

David Gomez has been working at UC San Diego for 17 years, where his career started in a temporary position as a Receiver within Logistics. He transitioned to the Storehouse team on the night shift, working late nights from 2 p.m. to 10 p.m., and then moved to Surplus Sales.
Currently, David oversees the Moving Services and Surplus Sales inventory & merchandising based out of the Logistics Hub at Trade Street. He and his team are responsible for collecting equipment that campus departments no longer need, bringing it back to the Trade Street warehouse, and cataloging each item. The team then repurposes the surplused equipment for other departments or the public to purchase, working to ensure that they divert as much material as possible from the landfill. They donate spare resources to organizations such as the Disabled American Veterans (DAV), that can benefit from equipment like wheelchairs, walkers, and canes.
David has worked in Surplus Sales for over 16 years and assumed the leadership role after Steve VanDuine retired. He is especially proud of the transition from SSIS (Surplus Sales Information System), a homegrown inventory and sales system that had been in use for over 20 years, to the current system. Over time the coding for SSIS became obsolete and during the COVID-19 pandemic, he was able to spend time researching alternative systems, ultimately implementing a modern Point-of-Sales system (POS) with greatly improved efficiency.
Outside of work, David enjoys home improvement projects. He bought a house three years ago with his wife and has been working on projects such as updating the backyard fencing. They have an adorable 2-year-old boy named Jacq and love to take him to the San Diego Zoo and Safari Park. David and his wife are talking about doing something special for their upcoming 10th anniversary.

The Social Responsibility team had the opportunity to visit BKM’s latest attraction: REVERIE - office space reimagined post-COVID. The space is where technology meets furniture. This blend of technology, design, and innovation left a lasting impression. These curated, new spaces are the future, welcoming new ideas and creativity. With fewer cubicles in the space, it opens the opportunity for more collaboration. This type of environment could make it more enticing for employees to leave the comfort of their homes to work in a space that meets their comfort needs.

Highlights and Recommendations
In October 2023, the IPPS Leadership Forum delved into the significance of workplace feedback. The session, led by Christina Lambert of the Faculty and Staff Assistance Program (FSAP), was titled "Providing Pivotal Workplace Feedback." It centered on the acquisition of effective communication models for delivering constructive and meaningful feedback. As a result of this presentation, IPPS leadership engaged in valuable discussions about various communication strategies, reflecting on both successful approaches and past challenges. Additionally, the IPPS EDI Committee has enjoyed participating in a variety of campus-hosted events and Heritage Month celebrations. Business and Financial Services has also just kicked off the second year of its Student Mentorship Program. Student and full-time staff are paired for the academic year to foster connections and opportunities for professional development. Big City Bagel
Big City Bagel (BCB) Café started locally 30 years ago with best friends Jennifer and Kristee. In addition to distributing their signature bagels across the San Diego community, they also have their original location in Hillcrest, coffee kiosks at SDSU, and the San Diego Airport Rental Car Center. BCB Café is a certified small and women-owned business epitomizing an entrepreneurial spirit and passion for service in San Diego. BCB Café has been serving the UC San Diego community for over 5 years with their bagels in Housing, Dining, Hospitality locations. Their offering now includes coffee carts located across campus. After 20 years of service to UC San Diego, the owners of Fairbanks coffee carts decided to retire and in September 2023 BCB Café took over operations. They're also building and opening new carts at Center Hall, Warren Mall, Revelle Plaza, and the School of Medicine. We encourage you to take a break or a walking meeting by one of these new BCB Café carts!

Randy's Donuts
Housing, Dining, Hospitality has partnered with the iconic Randy’s Donuts, which can now be found at all campus market locations and available through Catering & Dining Delivers for your breakfast or snack delight. Randy’s Donuts of San Diego opened their first franchise location in San Diego County in May 2023, bringing the signature handmade donut from Los Angeles to San Diego. Now serving UC San Diego dining market locations seven days a week, the UC San Diego community can enjoy a tasty Crueller daily or even indulge in one of the featured donuts of the week like the S’Mores donut or Matcha donut. We are proud that this new partner and franchisee is in the process of obtaining small business certification, in conjunction with our agreement. The Randy’s franchise team also supports the San Diego community with a restaurant and hand-crafted ice cream location in Chula Vista.

Gregory Jackson
It is with the heaviest of hearts that we share the passing of our colleague, Gregory Jackson. Greg worked in IPPS for over a year and handled many of the Travel & Expense Services & Support cases. Prior to IPPS, he worked for several other UC San Diego departments, most recently with Scripps Institution of Oceanography. During his time with IPPS, Greg built some strong connections with campus clients, as reflected by the thank you notes that decorated his space, as well as the kind Services & Support survey comments he received. We will miss his infectious laugh, the interesting stories he shared of his world travels, and his inquisitive nature. Our thoughts are with his family and friends.
