Message from Robbie Jacob
Director, Logistics
As the summer heat begins to fade and the leaves hint at the arrival of fall, our campus is buzzing with renewed energy and excitement. The return of our students marks the beginning of a vibrant academic year filled with opportunities, connections, evolution, and growth. If you have not had the opportunity to be on campus recently to see the growth firsthand, I encourage you to take a walk

through campus to feel the energy of our diverse student body and see the amazing scope of our ever-expanding footprint. This fall, there are two new neighborhoods to explore: Theatre District Living and Learning and Pepper Canyon West Living and Learning. Combined, they will bring 3,300 new beds, seven new buildings, and a myriad of retail, dining, and workspaces, perfect for spending a hybrid workday on campus. You can also see the two newest projects under construction, Ridge Walk North Living and Learning and the transformative Triton Center, moving at lightning speed.
The IPPS mindset of evolving to support our campus clients in creative and different ways is always front and center, so we were happy to come together to form a new department: Residential, Retail, and Supply Chain Services (RRSS). RRSS unites Housing Dining Hospitality (HDH), Integrated Procure-to-Pay Solutions (IPPS), the UC San Diego Bookstore, Triton Print & Digital Media, and the Early Childhood Education Center (ECEC), all of which are service-focused units and touch many of the same clients. Although we are a three-month-old organization just starting to get our feet under us, our teams have already identified many opportunities for alignment and efficiency that will provide better experiences and possibly new offerings for you.
Personally, I am very excited about two projects launching this fall, both aimed at helping manage the increasing package volume across campus. Student package volume has grown 190% in the last four years, and our projections have total campus package volume increasing 280% by 2029. In 2021, our Student Mail team opened The Trove, our first campus location offering nearly 24-hour access to student packages via lockers. The Trove successfully met student expectations while managing a significant increase in package volume. We have installed another bank of lockers at Revelle College that will launch in week one of the fall quarter. Through the RRSS integrated organization, the path to supporting students in a multitude of new ways and locations is very promising.
Second, this November we begin installation on a new, modern conveyor system for department-bound packages at our Logistics Hub at Trade Street. The new system will process packages autonomously using cameras that scan 30,000 images a second and robot arms that can process 17 packages per minute. This technology will allow us to get items to campus the same day, all while removing congestion on campus.
Throughout our ten-year history, IPPS has embraced opportunities to strengthen its connections to the campus community. Within our new RRSS organization, we are excited about what the future will look like for our teams and the new ways we will continue to get to engage and support all of you.

UC San Diego's campus-wide, 10-year partnership with Thermo Fisher Scientific is a focus on groundbreaking, sustainable supply chain solutions. Together, we explored a variety of environmentally sustainable and responsible waste management projects and have narrowed our focus to single-use plastics, which play an essential role in labs across campus but pose a waste challenge.
UC San Diego's 2023 buying history revealed that racked pipette tips purchased through Fisher Scientific resulted in ~14,248 lbs. of plastic pipette tips, which, if recycled, would equate to 264 plastic pallets. Thermo Fisher Scientific provides prepaid shipping labels. Participating in this program supports the university's zero-waste goals. IPPS Launches ICC: A New Platform for EDI Engagement and Growth
ICC Sessions Explore and Elevate EDI Initiatives in FY 2024-25
The IPPS EDI Committee is excited to announce the launch of IPPSter Community Connection (ICC), a series of EDI-related sessions that will take place throughout the fiscal year 2024-25. These sessions aim to bring together coworkers from across Integrated Procure-to-Pay Solutions (IPPS) to explore different topics and get excited about EDI initiatives.
The goal of these ICC sessions is to provide a platform for staff to engage with EDI topics in a fun and interactive way. Additionally, we made attending one of these sessions part of our Performance Appraisal goals for the 2024-25 fiscal year.
We also want to encourage other departments to explore different ways they can engage with EDI initiatives within their teams. By working together, we can create a more inclusive and equitable work environment that values diversity and promotes excellence.

Makena Loop
By Ayaka Ikeda
We’re excited to shine the spotlight on Makena Loop in this summer 2024 issue of the IPPS Quarterly! Makena is a valuable member of our Life Sciences Strategic Procurement team, where she holds the role of Senior Buyer.
Makena's journey to IPPS is as diverse as her international background. A UCLA graduate with a degree in Psychobiology, Makena's path led her through Spain, where she earned a master's in Healthcare, to Australia, and even teaching English in Italy before settling in San Diego. In July 2019, Makena joined IPPS as a temp hire, leveraging her extensive life sciences knowledge. Her unique perspective proved invaluable as the department transitioned towards a more science-oriented approach. Initially unsure about staying in San Diego, Makena found herself drawn to the team and the work, securing a full-time position just before the pandemic hit. Over her five-year tenure, she's evolved from a procurement-focused role to managing a variety of life sciences projects across campus, including vital supplier partnerships.
As the program manager for the sustainable supply chain aspect of the decade-long strategic partnership with Thermo Fisher Scientific (TFS), she's spearheaded innovative initiatives. Specifically, Makena and her team lead a pipette tip recycling program in campus labs, which TFS subsequently adopted nationwide. Her team is also at the forefront of the Credo project, which aims to eliminate Styrofoam from cold storage shipments by implementing reusable containers. These efforts showcase Makena's commitment to sustainability in procurement. Beyond environmental initiatives, Makena has made waves across the entire UC system by leading a successful antibody RFP project, resulting in four new beneficial contracts. Her strategic approach to procurement, moving beyond day-to-day tasks, has been a key highlight of her career. Amidst her professional accomplishments, Makena also achieved a personal milestone by earning her Project Management Professional (PMP) certification after a year of study while maintaining her full-time workload. Throughout her journey, Makena emphasizes the joy she finds in collaborating with her colleagues, underscoring the positive work environment at IPPS.
Outside her professional life, Makena enjoys traveling the most, making it a point to embark on an international journey at least once a year. Her passion for travel has taken her to an impressive array of countries, including Spain, Italy, Australia, Portugal, the UK, Ireland, France, Germany, the Czech Republic, Denmark, Austria, Slovenia, New Zealand, Mexico, and Peru. As we delved deeper into her travels, our conversation expanded to the fascinating cultural differences she's encountered. Makena emphasized how the vibe of people and their openness varies significantly from country to country, profoundly influencing the overall experience within each culture. She contrasted the warm, welcoming atmosphere of Spain with the more reserved nature of Milan, Italy, noting how these cultural nuances shape one's interactions and perceptions. After experiencing pretty much most of Europe, Japan tops her bucket list for future adventures. By the way, she is probably in Brazil right now, having the best time on her vacation. Makena’s global perspective not only enriches her personal life but also brings a unique, worldly approach to her role at IPPS.
